Add Custom Headers and Footers

A header is information that displays in the top margin. A footer is information that displays in the bottom margin. You can design custom headers and footers. Custom headers and footers can consist of page numbers, dates, times, document properties, fields, and images.

Document Properties

Document properties provide information about a Word document, such as the author, size, and number of words. Properties fall into categories such as general, summary, and custom. You can use the Properties dialog box to set the value of summary properties such as title, subject, and author, and to create custom properties.

When creating a custom property, select the property name from the list provided by Word, or name the property yourself. Custom properties can be any one of the following types: Text, Date, Number, or Yes or No.

Number Select number if the value is going to be a number
Yes or No Select Yes or No if the value is limited to either yes or no

Format Headers and Footers

You can use a table to help format the information you place in a header or footer. A table will enable you to divide your header into sections and to set the alignment for each section. You can also use tabs. By default, the header and footer areas have three tab stops: one at the left margin that left-aligns your entries, one at the right margin that right-aligns your entries, and one in the center that centers your entries.

If you want to format page numbers in the format n of m, where n represents the page number and m represents the total number of pages, you must use fields. Use the Page field to insert the current page number; use the NumPages field to insert the total number of pages in the document, or use the SectionPages field to insert the total number of pages in the section.

Format Odd and Even Pages Differently

You may want to create one header or footer for use on all even pages, and another header or footer for use on all odd pages. This is useful when you are printing on both sides of the paper. By creating two different headers or footers, you can have page numbers appear on the outside edge of all pages.

Format the First Page Differently

If you want a different header or footer on the first page of your document, or no header or footer at all, check Different Front Page in the Options group on the Design tab under Header & Footer Tools; then delete or enter different information in the first header or footer. You can also section your document and enter different header and footer information in each section.

Set Summary Properties

  1. Click File.
  2. Click Info.
  3. Click Properties. A menu appears.
  4. Click Advanced Properties. The Properties dialog box opens.
  5. Choose the Summary tab.
  6. Type document properties in the proper fields.
  7. Click OK when you are finished. Word assigns the values you entered to the properties.

Set Custom Properties

  1. Click File.
  2. Click Info.
  3. Click Properties. A menu appears.
  4. Click Advanced Properties. The Properties dialog box opens.
  5. Choose the Custom tab.
  6. Type a name in the Name field or select a name from the list.
  7. Click the down-arrow next to the Type field; then click the type of field you want to create.
  8. Type a value in the Value field.
  9. Click Add.
  10. Repeats steps six through nine for all the properties you want to create.
  11. Click OK. Word assigns the values you entered to the properties you created.

Insert a Table into the Header or Footer

  1. Choose the Insert tab.
  2. Click Header in the Header & Footer group to create a header. Click Footer in the Header & Footer group to create a footer.
  3. Click Edit Header if you are creating a header. Click Edit Footer if you are creating a footer. The Header & Footer Tools become available.
  4. Choose the Insert tab.
  5. Click Table in the Tables group. A menu appears.
  6. Click and drag to select the number of columns and rows you want. Word places a table in your header or footer. The Table Tools become available.

Remove Table Borders

  1. Click anywhere in the table.
  2. Choose the Table Tools Layout tab.
  3. Click the down-arrow under Select in the Table group. A menu appears.
  4. Click Select Table.
  5. Choose the Table Tools Design tab.
  6. Click the down-arrow under the Borders button. A menu appears.
  7. Click No Borders. Word removes the borders from your table. You can now add information to your table.

Insert a Page Number

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Click where you want to insert a page number.
  4. Click Page Number in the Header & Footer group.
  5. Click Current Position. A menu appears.
  6. Click to select the number format you want to use. Word inserts the page number.

Insert the Current Date or Time

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Click where you want to insert a date or time.
  4. Click Date & Time. The Date and Time dialog box opens.
  5. Check Update Automatically if you want Word to print the current date or time each time you print.
  6. Click the date or time format you want to use in the Available Formats field. Word inserts the date or time in the format you selected.

Insert Document Information

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Click where you want to insert the document information.
  4. Click Document Info in the Insert group. A menu appears.
  5. Click to select the document information you want to insert. Choose from Author, File Name, File Path, or Document Title. Word inserts the information you chose.

Insert Document Properties

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Click where you want to insert your information.
  4. Click Document Info in the Insert group. A menu appears.
  5. Click Document Property. A submenu appears.
  6. Click the document property you want to add. Word inserts the document property.
  7. Press Esc.

Insert a Custom Property

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Click where you want to insert the custom property.
  4. Click Document Info in the Insert group. A menu appears.
  5. Click Field.
  6. Click the down-arrow next to the Categories field and then select Document Information.
  7. Click DocProperty in the Field Names field.
  8. In the property field, click the property you want.
  9. Click OK. Word inserts the property value.

Insert Page Numbers in the Format n of m.

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Click where you want to insert the page number field.
  4. Click Quick Parts. A menu appears.
  5. Click Field. The Field dialog box opens.
  6. Click the down-arrow next to the Categories field and then click Numbering.
  7. Click Page in the Field Names box.
  8. Click the number format you want in the Format box.
  9. Click OK.
  10. Press the Spacebar.
  11. Type:of
  12. Press the Spacebar.
  13. Click Quick Parts. A menu appears.
  14. Click Field. The Field dialog box opens.
  15. Click the down-arrow next to the Categories field and then click All.
  16. Click NumPages (or SectionPages if your document is divided into sections) in the Field Names box.
  17. Click the number format you want in the Format box.
  18. Click OK. Word inserts the page numbers.

Insert an Image Located on Your Drive

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Place the insertion point where you want to insert an image.
  4. Click the Pictures button. The Insert Picture dialog box opens.
  5. Locate the image you want to insert.
  6. Click Insert. Word inserts the image.

Add an Image from Bing

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Place the insertion point where you want to insert an image.
  4. Click Online Image. The Insert Pictures dialog box opens.
  5. Type what you are looking for in the Bing search field.
  6. Press Enter.
  7. Click the image you want.
    Note: You can use the scroll bar to scroll through the images.
  8. Click Insert. Word inserts the image.

Insert a Different Header or Footer on Odd and Even Pages

  1. Double-click in the header or footer area. The header or footer area opens and the Header & Footer Tools become available.
  2. Choose the Header & Footer Tools Design tab.
  3. Check Different Odd and Even Pages in the Options group.
  4. Go to the first odd page in the section.
  5. Create your header or footer.
  6. Go to the first even page in this section.
  7. Create your header or footer.
  8. Click Close Header and Footer.

Tip

When you open the header or footer area, the Header & Footer Tools Design tab appears. You can use the Header from Top field in the Position group to specify how far from the top margin headers appear. You can use the Footer from Bottom field in the Position group to specify how far from the bottom margin footers appear.

Tip

You can use the following method to open the header area: 1) Choose the Insert tab. 2) Click Header. A menu appears. 3) Click Edit Header.

You can use the following method to open the footer area: 1) Choose the Insert tab. 2) Click Footer. A menu appears. 3) Click Edit Footer.

How do I remove a header or footer?

To remove a header, perform these steps: 1) Choose the Insert tab. 2) Click the down-arrow under Header in the Header & Footer group. A menu appears. 3) Click Remove Header. Word removes the header.

To remove a footer, perform these steps: 1) Choose the Insert tab. 2) Click the down-arrow under Footer in the Header & Footer group. A menu appears. 3) Click Remove Footer. Word removes the footer.
